1. Who we are
This website is operated by HBK SOFTWARE LTD, a company registered in England and Wales under company number 13320244, based in Liverpool, United Kingdom. 2. What we collect
- Contact form: your name, surname, email address, phone number, subject and message.
- Quote request form: your name, surname, company name, email address, phone number, the service you are interested in and your message.
- Technical data: your IP address, browser and device information, which our hosting, security and spam protection services process when you visit the site or submit a form.
- Analytics data: how you use the website (pages visited, approximate location, device type). This is collected only if you accept analytics cookies.
You do not have to give us your details, but we cannot reply to your enquiry without them.
3. Why we use it and our lawful basis
- To reply to your enquiry or quote request, and to take steps you ask for before entering into a contract. Lawful basis: our legitimate interests in responding to you, or steps prior to a contract.
- To protect the website and our forms from spam and abuse. Lawful basis: our legitimate interests in keeping the service secure.
- To understand how the website is used and improve it. Lawful basis: your consent, which you can withdraw at any time via Cookie Settings in the footer.
- To meet our legal obligations, for example accounting or responding to lawful requests.
4. Who we share it with
We do not sell your personal data. We share it only with service providers who process it on our behalf:
- our website hosting and email service providers, to run the site and deliver your messages to us;
- Cloudflare, which delivers and protects the website and checks form submissions for spam with Cloudflare Turnstile;
- Google, for Google Analytics, only if you consent;
- Laravel Nightwatch, which monitors the website for errors and performance issues.
5. International transfers
Some of these providers may process data outside the UK, for example in the United States. Where they do, the transfer is protected by appropriate safeguards recognised under UK data protection law, such as the UK–US data bridge or the UK International Data Transfer Addendum.
6. How long we keep it
We keep enquiry and quote messages for 2 years after we receive them, after which they are deleted automatically. Analytics data is kept according to the retention settings of our Google Analytics account.
7. Your rights
Under UK data protection law you have the right to:
- access the personal data we hold about you;
- ask us to correct or delete it;
- ask us to restrict or stop processing it, or object to processing based on our legitimate interests;
- receive your data in a portable format;
- withdraw your consent at any time, where we rely on consent.
